Terms and Conditions for Exhibitors

These Terms and Conditions govern the participation of exhibitors in the Youth PWR STEM Careers Conference and Careers Fair. By registering as an exhibitor, you agree to comply with the following:

1. Exhibitor Participation

  • Exhibitor Fees: Participation as an exhibitor is free of charge. Sponsorship opportunities are available for those seeking additional visibility and benefits.

  • Registration: Exhibitors must complete the registration form with accurate and up-to-date information. Participation is subject to approval by Youth PWR.

  • Attendee Engagement: Exhibitors are encouraged to actively engage with event attendees, showcasing available opportunities in the STEM sector.

2. Event Promotion and Materials

  • Marketing and Promotion: By participating, exhibitors grant Youth PWR permission to use the provided organization information (e.g., logo, description) in promotional materials, including event programs, newsletters, and social media.

  • Exhibitor Contributions: Exhibitors may contribute additional content such as workshops, presentations, or tech demos. Participation in such sessions must be coordinated in advance with Youth PWR.

3. Event Day Logistics

  • Booth Setup: Exhibitors are responsible for the setup, maintenance, and removal of their booth space during the event. Youth PWR will provide basic booth facilities, including tables and chairs. Additional requests (e.g., access to power, AV equipment) must be made during registration.

  • Arrival and Departure: Exhibitors must adhere to the setup and breakdown times provided by Youth PWR.

  • Conduct: Exhibitors are expected to conduct themselves professionally and respectfully toward attendees, staff, and other exhibitors. Inappropriate behavior may result in removal from the event.

4. Health and Safety

  • Compliance: Exhibitors must comply with all applicable health, safety, and accessibility regulations during the event.

  • Insurance: Exhibitors are responsible for their own insurance coverage for any materials, equipment, or activities at their booth.

5. Sponsorship Opportunities

  • Sponsorship: Opportunities to support the event as a sponsor are available. Sponsors receive enhanced visibility, such as logo placement on marketing materials, featured promotion, and additional booth privileges. Details of sponsorship packages will be provided upon request.

6. Data Protection and Privacy

  • Data Collection: Youth PWR may collect personal information from exhibitors during the registration process. This information will be used solely for the purposes of event management and communication.

  • Privacy: Exhibitors must comply with all applicable data protection laws, including GDPR, when handling attendee information collected during the event.

7. Cancellations

  • Exhibitor Cancellations: If an exhibitor must cancel their participation, they should notify Youth PWR as soon as possible.

  • Event Changes: Youth PWR reserves the right to reschedule, modify, or cancel the event due to unforeseen circumstances. Exhibitors will be notified promptly of any changes.

8. Liability

  • Youth PWR Liability: Youth PWR will not be held liable for any loss, damage, or injury incurred by exhibitors, their staff, or property during the event.

  • Exhibitor Responsibility: Exhibitors are responsible for any damage caused to the venue, equipment, or other participants resulting from their activities.

9. Agreement to Terms

  • By registering for and participating in the Youth PWR STEM Careers Conference and Careers Fair, exhibitors agree to these Terms and Conditions. Youth PWR reserves the right to update these terms as necessary, and exhibitors will be informed of any changes.​
